Organization Overview
• Used to group positions, resources, workers, and cost to support
a particular business function
• Can be included in hierarchies to represent a structure or to
view reporting relationships
• Workday maintains different types of organizational structure
• Each structure is defined to meet the needs of organizations
that operate differently
• Each organizational structure is developed to established how
an organization operates and assists in obtaining its goals
• Limitless organization types can be created in Workday
• Supervisory Organization is the Primary structure in Workday
HCM
Location Overview
At least one location must be set up before creating a
Supervisory Organization
The primary location must be a Business Site
A Time Profile must exist before creating a location
Time Profile is used to determine FTE and distinguish
the standard weekly hours worked in each location
Location Usage
Reorganization Event
MUST be created when:
Creating a new Supervisory Organization
Making changes to the overall structure of the
Supervisory Organization
Reorganization is really just a bucket or a container to
trace changes. It is up to the user to determine how
to best use this event.
Can only have one future dated organization at a time
Need not be created for Matrix organization

Supervisory Organization
• The main organizational structure and the core of
Workday HCM
• Where workers are assigned into an organizational
hierarchy
• Used to run business processes, collect data, and designate
workers to their management and support teams
• Each organization structure can only have one Manager
• Inheritance applies to a Supervisory Organization, i.e.
manager will be inherited by the subordinate organization
when no manager is appointed at the top level of
hierarchy
Create a Supervisory Organization
Supervisory Organization Owner
 The Owner and Hierarchy Owner self-assigned roles are automatically added
in the Assign Roles tab when creating a supervisory organization, wherein
these roles are assigned to the one who created the organization. These roles
are needed to perform Reorganization tasks for the supervisory organization.
 These roles can be added/updated in the following tasks (through Sup Org’s
related action):
> Roles > Assign Self-Assign Roles – to change the worker assigned to the roles
> Roles > Assign Unassigned Self-Assign Roles – to assign the worker to the
roles
Unique Features of Supervisory
Organization

• Positions are only defined within a


Supervisory Organization, employees are
only employed into a Supervisory
organization
• Employees must be hired into open
positions in a Supervisory Organization,
except for organizations with a job
management staffing model
• Work roles and responsibilities are
delegated, controlled and coordinated in a
Supervisory Organization
• Business processes and approvals are
specified in a specific Supervisory
Organization and will inherit down to its
subordinate organizations

Assigning Worker in a Supervisory
Organization

A worker can only be hired in one Supervisory


Organization
Manager of a Supervisory Organization is never a
member of the Supervisory Organization that they
supervise
Manager of a Supervisory Organization is hired at the
superior organization that they administer
Organization Roles
Enables security control for positions (not
workers) within an organization
Organizational roles exist in each organization
and are assigned by the organization owner
Every supervisory organization has members,
but the organization may also have workers
who support it but not members
Used to delegate tasks for business process
routing and notifications
Can be assigned directly to an organization,
inherited from a superior organization or
defaulted
Roles include responsibilities such as manager,
recruiter, or HR partner
Reorganization Options
Could be accessed on the related action of the
supervisory organization
Organization Management is a past, current,
or future change to supervisory organization
Used to modify structure of an organization,
move or assign large number of workers
Assign Superior
• Occurs if you need to
move an existing
organization to report
to a new supervisor
• Main considerations:
– Does Manager need
to be changed?
– Does current
manager need to be
moved to new
supervisory org?
– Are there org roles
that need to be
changed?
Create Subordinate
• Occurs when new
reporting relationship
were developed,
sometimes through the
move
• Same staffing model of the
superior organization will
be inherited to the
subordinate organization
• Main considerations:
– Does manager change
or is it inherited from
the superior?
– Are there org roles that
need to be changed?
– Does the staffing
model need to be
edited?
Divide an Organization
 Dividing an organization
may be used if workers in
current org will be in the
future org (ex: one org splits
into two orgs)
 When dividing an
organization, the new
organization inherits the
roles from the original
organization
 Main considerations:
 Whether the new org
staffing model should be
edited
 Whether to assign new
org roles to new
supervisory org
 Whether individuals or
headcount move to new
group
Move Workers
 Reorganization: Move a
person in (or out) of an
organization
 This Business Process (BP) is
available to HR Partners, HR
Administrators and Managers
 For a reorganization, the
staffing model must be the
same to move a worker
 BP moves one or more from
one organization to another
 Headcount & Job Mgmt:
Only move filled positions
 Position Mgmt: Move
filled and unfilled
positions
Inactivate Organization
• Prior to inactivating an
organization, all workers
and positions must be
moved out first
• All pending events and
activities must be
completed or cancelled
prior to inactivation
• Keep role assignments to
keep intact the roles in an
inactive organization
• You can reactivate an
inactive organization by
selecting
Reorganization > Activate
from the related actions
menu of the inactive
organization
Change Organization Owner
The business process of Assign Self-Assign
Roles and Mass Assign Self-Assign Roles
must be configured for the affected
organization
Use Assign Self-Assign Roles task to
transfer ownership of one or more
organizations from one worker to another
This task enables to:
 Transfer one organization to a new owner
 Transfer more than one organization to a
single new owner
 Transfer multiple organizations to two or
more new owners
