I am extremely grateful to thanks the almighty God for being with me all the time of the
preparation of this report and for blessing me with wisdom, love, power, healthy and care, also
my family members for all the support they offered me, without forgetting Mr. Kishimbo of the
Institute of Accountancy Arusha (IAA who is my supervisor for his constructive ideas and
guidance from the beginning of the practical training to the final report.

The thanks goes to the Institute of Accountancy Arusha IAA for giving students opportunity to
learn through training session about six weeks which had enable the students to gain the
experiences and how to attend different tasks they were assigned to perform, I am also grateful to
my parents, for making it happen since day one till present by financing me my studies at the
Institute of Accountancy Arusha IAA.

I remain heavily indebted to my on-site supervisors such as madam, Jackline Mwenda, who is
Head of Procurement Management Unit HPMU at TEMDO also Emmanuel Balozi, together
with Mahus P. Maduhu are the member of Procurement Management Unit Officers at Tanzania
Engineering and Manufacturing Organization (TEMDO for their competent guidance and
encouragement toward the smooth realization of this field report.
Student thanks goes to the supervisor Mr. Kishimbo for guiding work of the report so as to make
better plan of the field work paper to be successfully completed.
Finally I thanks to all workers /employee from Tanzania Engineering and Manufacturing
Organization (TEMDO) for all ideas, supports and provision of different materials for this
proposal report by working with them together makes a potentially tedious tasks great fun

ABSTRACT
The important of this field practical training is to enable students compare the theory learnt in the
classroom and the actual practical taken to the organization of Tanzania Engineering and
Manufacturing Design Organization (TEMDO)

This report gives brief introduction about TEMDO and all the activities I undertaken at the
organization, the experience I gained, the practical skills acquired and the personal inputs to the
organization. The activities undertaken at the organization as follow, receiving goods delivered
to the organization by suppliers, Taking part in the inspection of goods delivered Goods and raw
materials, Processing of supplier’s invoices for their payment at the accounts.
My report gives briefly about the challenges observed in the organization during the training
period such as, Time limit. Example Time was too short to capture most of things in the office,
Nature of Materials. Such Most of the Items in the store was in engineering types which is not to
understand easily, Delay of payment to supplier. which discouraged them to engage in quality
delivery cost and innovators ideas with joint sharing benefit,
The report also explains about the conclusions and recommendations of my field training in the
organization. The conclusion based in both strengths and weaknesses by starting with the
strengths was such as Good cooperation, All department in TEMDO they have good cooperation
which help them do work quickly, All document or relevant information which I need in writing
report was there in planning department.
And the weaknesses as follow Collapse for a system and ignore to repair so activities are
performed manually so work it become difficult, Some materials are delivered from supplier
without supporting documents for example LPO, INVOICE and Delivery Note, Sometimes LPO
are prepared when materials have been delivered to the user department in attempt to justify for
payment.
This report explains the recommendations to both Institution of (IAA) and the organization of
(TEMDO) such as, Review of period of Practical Training. The period provided to carry out the
study was not enough for exhaustive findings. To gather sufficient and relevant information
about the training. Not only that but also Freedom of Specialization. Students should be given
the freedom to choose as to which particular section of the organization they would like to be

placed. This is important as students will choose what is in line with what they plan or aspire to
be their future carrier.

CHAPTER ONE

1.0 Introduction.
This chapter, gives general impression about the organization it identifies the nature of business
the organization it engaged, major products and services it provides, how to operates in terms of
chain of commands, numbers of employees as well as the level of technology but also knowing
who are their customer.

Also it show how practical training is an important component for any students as they learnt
theoretically and doing practically or field work, student get more confident in what they being
learnt in class by the lecturers.

This is mainly because it provides many opportunities for a student to integrate theory and
practice. The student obtains training and valuable experience in real life situation (activities)
which cannot be simulated and practice in classes.

1.1 Objectives of the field attachment


In this field practice the main objectives are follows

 To improve the understanding in the class to working situation which it facilitate


experience creativity
 It improve the confident in problem solving
 It help to acquire the new knowledge and practical experiences & skills
 Helps to get opportunity to meet and work with potential employees
 To report on how employees within the organization they cooperate to ensure
smooth flow of activity within the organization
 To determine how modern technology of using computers, Biometric devices,
printers and scanners does applicable in running day to day activities within
organizations

1.2 Organization structure
The management and administration of day-to-day activities of TEMDO. The overall
responsibility for policy and general guidance is vested on the board of directors and the Director
General of Tanzania Engineering and Manufacturing Design Organization. The institute has
different departments which facilitates its day to day activities as shown in its structure.

1.3 TYPE OF BUSINESS/ORGANIZATION
Tanzania Engineering and Manufacturing Design Organization (TEMDO) is the
parastatal/state owned organization under ministry of industrial and business. The company
generates Engineering Consulting Services, Technical training and the products such as
Machines example oil-expellers, Hospital incinerators, Normal hospital beds, Peanuts butter
machines

The followings are some of the objectives of some departments of TEMDO

 Objectives of the Directorate:


To provide expertise, consultancy and services on research, Design and Technological
Development to the directorate.

The functions of the department:


I. Implement activities assigned to the department as per cooperate strategic plan;
II. Formulate policies, regulations and procedures on applied research, technology
development and transfer.
III. Provide technical advice and assistance to other departments, client ministries,
government bodies, public and private sectors, on matters related to applied
research, technology development and transfers;
IV. Formulate project proposals on applied research and technology development and
transfer for presentation to funding agencies/organizations
 Design and Technology Development (DTD) Section:
Functions of the Directorate:
I. To spearhead the formulation of design and technology transfer policy,
regulation, and procedures.
II. To carry out design, testing and improvement of machinery, equipment,
tools jigs, and fixtures as required.
III. To transfer technologies developed to manufacturing SMEs and other
users.
IV. To prepare human resource development plan for the section

 Marketing, Technology Transfer and commercialization (MTC) Section
Functions of the Directorate:
I. To conduct marketing research for technologies.
II. To prepare human resource development plan for the section.
III. Ensure reasonable environment for safety of workers at workplace.
IV. To coordinate and spearhead public private partnership.

 Industrial Support Services (MIT) SECTION:


Functions of the directorate:
I. Provide on the job of new employees and facilitate practical training of students
from training institutions.
II. To carry out industrial audit in manufacturing industries and SMEs in order to
identify areas requiring TEMDO’s intervention.
III. To develop, execute and coordinate training programs as per identified needs
using internal and external.
IV. To prepare human resources development plans for the section

 Human Resources Development and Administration Unit (HRDA)


Functions of the Unit:
I. Facilitate employee and relation and welfare including health, safety, sports and
culture.
II. Provide registry, mesenteries / and courier services, and manage office records.
III. Facilitate general custodian services to include maintenance of office equipment,
building and grounds.
IV. Carry out human resources planning to determine supply and demand for
professionals.

 Procurement Management unit (PMU)
Function of the Unit
I. Support the functioning of the tender board.
II. Implement the decision of the tender board.
III. Act as a secretariat of the tender board.
IV. Prepare tendering documents.
V. Prepare monthly Procurement report

1.4 MAJOR PRODUCTS AND SERVICES


At TEMDO the major products produced are:
 Machines example oil-expellers.
 Hospital incinerators.
 Normal hospital beds
 Peanuts butter machines
Not only that that but also Engineering Consulting Services.

1.5 ACTIVITIES FUNCTIONS PERFOMED BY TEMDO


The Organization operates its activities as follows.

1. To design and promote the designing of products and processes for Tanzania industry in
accordance with national Industrial development Policy.
2. To adopt foreign design for machinery and equipment to suit local conditions of
3. Manufacture, use and maintenance.
4. To manufacture and develop prototypes and spares based on the designs produced by the
organization as well as those which may be brought to the organization.

1.6 NUMBER OF EMPLOYEES
To ensure that TEMDO operates sufficiently and effectively, it has employed people who are
qualified and developed to work and there for provide services as they are required by the
organization. The number of employees at Tanzania Engineering and Manufacturing Design
Organization are 45 Whereby 12 employees are engineers 5 employees are procurement
management officers (PMU) .Also there is 3 employees employed in Intelship but the rest are
normal employees

Mostly of the TEMDO customers are: -
a) Schools
b) Hospitals
c) Universities
d) Hotels

EXPERIENCES

2.0 Introduction
This chapter is going to explain the different activities I performed specifically on the nature of
working environments, Problems on executing tasks, description on the tasks and duties
performed, demands of the tasks assigned, and expectation before going to the training,
employment prospects during training which shows what kind of training obtained

2.1 Duties and responsibilities


 The following were the duties I was assigned to at the procurement department at TEMDO.

 Receiving goods delivered to the organization by suppliers.


 Taking part in the inspection of goods delivered Goods and raw materials.
 Processing of supplier’s invoices for their payment at the accounts.
 Issuing and recording of stores.
 Maintaining of store records and controlling of stores.
 Processing departmental order forms and writing LPOs for fueling of vehicles.
 Preparing and filling documents i.e. Local purchasing orders, preparation of invoices,
delivery notes, issue notes, goods received note (GRN).
 Preparation of Standard tender document (STD).
 Stock tacking
 Preparation of good receiving note

2.2 NEW KNOWLEDGE AND SKILLS GAINED IN EACH AND RESPONSIBILITY
ASSIGNED
My training exercise has aided me in analyzing my options and my situation. During the
attachment I gained skills in 3 different axes,

Professionally: I had the opportunity to put into practice what I have been learning in the class
like the procurement process, tendering, sending quotations and their analysis, evaluation process
and evaluation committee proceedings and Public Procurement Act (PPA). I acquired good
management, self-motivation and time management skills.

Socially: I have gained a greater level of confidence through my interactions with


different classes of people and top officials. I have gained good interpersonal skills.

Personally: my knowledge about procurement and procurement rules was expanded as I went
through the public procurement and disposal act in details. I have learned and acquired team
work, efficient on task and problem management skills

2.3 THINGS ENJOYED MOST AND WHY


 Archiving more works than what I expected.
 There is relationship between one department to another which makes the work to be
easy and fast to complete.
 The warm welcoming in the office and how the subordinates relate among themselves
made me feel so comfortable and relax.
 I did enjoy a lot, because the company was responsible for the engineering services.
Example design different machines.
 I did enjoy a lot, when we were out in the field visiting various sites to test machines.

2.4 THINGS ENJOYED LEAST AND WHY
 I didn’t enjoy the repetitive tasks, but I realized that they were unavoidable.
 I really prefer not doing administrative work, because it is time not spent with customer,
which is my strong suit.
 Accessibility of data.
 The office had no enough facilities to accommodate all of the students who were trained
at offices.
 Lacks of enough resources that can be enable the achievement of harmonization between
organizational changes and staff perception.

2.5 PROBLEM EXPRIENCED


I cannot say that during my practical training I faced any great problem in executing the task
assigned to me.

 The challenging duty was that which involved the use of computer system and system for
data posting and preparation of purchasing documents like local purchase order. This
required some computer skills and knowledge which I did possess them in a little
learning this force to take some extra time and work on these accounting packages.
 Converting theories into practical. Most of things I learn in theory but at field I do it in
practical way.
 Time limit such as Time is too short to capture most of things in the office
 Nature of Materials such Most of the Items in the store are in Engineering types which is
not to understand easily.
 Cost

2.6 HOW TO OVERCOME/SOLVE PROBLEMS


 The problem of inadequate office facilities can be solved by the office by having a fixed
number of students for practical training because by only increasing the number of Tables
and computers cannot solve the problem.
 To solve the problems associated with lack of computers skill I did undertake a helpful
measure. I was very inquisitive and eager to learn from my fellow students and other staff

members. Whenever time allowed, I use has to be motivated in a point that they are proud
of their jobs and their responsible including well package of salary, early salary
payments, evaluate to performance and awarding the best workers and well supervision
of the junior workers.
 The TEMDO should make sure all payment and allowance to the workers and their
supplier on time in order to motivate their employee and their supplier.

CHAPTER THREE

CONCLUSION AND RECOMMENDATIONS

3.1. CONCLUSION
This part it explain more the major strength and the weaknesses of the practical training and the
benefits gained from the training programmed.

The supervised field attachment of the university gives students the opportunity to apply and put
what has been learned in class into practice. This exposes them to work methods not taught in the
class. It also provides an opportunity for the students to assess their interests in their career been
undertaken and also acquaint them with expectations of working in a highly competitive
environment.

The training strengthens the linkages between Institution of IAA and other institutions all over
the country. In review, the training has been a success and I was able to gain practical skills,
work in a fantastic environment and make connections with different types of people. This
attachment with TEMDO has made me gain much practical knowledge and experiences in my
field of study (procurement) as well as enriching me with the interaction with the business world.

The training has instilled me some integrity like being punctual, being submissive to and taking
views of supervisors, communication skills and efficient in task and problem management. As a
result, my objectives were met and well achieved. Not only did I gain practical skills but
also acquired management, self-motivation and good interpersonal skills.

This training program should therefore be maintained for students to learn more practically as
this has being an excellent and rewarding experience and I hope other interns achieved as much
as I did.

I was able to grow my interest in my career and make good transition from what I have been
learning from school to the outside world of work.

The following are the strength of the study
 Good cooperation; All department in TEMDO they have good cooperation which
help them do work quickly.
 All document or relevant information which I need in writing report was there in
planning department.
 They gave me an all importance service like food and transport.

TEMDO they have some of the strength but also there some weakness as follow,

The following are the weaknesses of the study


 Delay of payment to supplier, which discourage them to engage in quality delivery
cost and innovators ideas with joint sharing benefit.
 Collapse for a system and ignore to repair so activities are performed manually so
work it become difficult.
 Some materials are delivered from supplier without supporting documents for
example LPO, INVOICE and Delivery Note
 Sometimes LPO are prepared when materials have been delivered to the user
department in attempt to justify for payment.
 Misplacement of purchases requisition and some other relevant notes
Lastly the following are the benefits of the derived from the field train at (TEMDO)
 To improve the understanding in the class to working situation which it
facilitate experience creativity
 It improve the confident in problem solving
 It help to acquire the new knowledge and practical experiences & skills
 Helps to get opportunity to meet and work with potential employees
 To report on how employees within the organization they cooperate to
ensure smooth flow of activity within the organization

 3.2. RECOMMENDATIONS.
The attachment is very beneficial to students as it assists them to blend academic work with that
of the industry. Therefore much emphasis and importance should be given to attachment exercise
by the students. Since the experience for the 6 weeks was enormous, the following should be put
in place to better future benefits of students and the institution at large.

3.2.1 Recommendation to the organization of IAA


 The institution should allow enough time to the students for their preparation and search
of their attachment and their requirements as provided by the institution as early as
possible.
 The institution should lease with the students financing institution and look forward to
push for grants to support their students on attachment.
 The students should be facilitated for doing their industrial attachment as it can be seen
how well and importance it is as the students lack enough funds to facilitate their upkeep
during the training period.
 Freedom of Specialization. Students should be given some freedom to choose as to which
particular section of the organization they would like to be placed. This is important as
students will choose what is in line with what they plan or aspire to be their future carrier.
Also, this freedom will help the students be morally motivated which will help both the
student in learning a lot from the training and the organization by getting more quality
work from the student.

 Review of period of Practical Training. The period provided to carry out the study was
not enough for exhaustive findings. To gather sufficient and relevant information, much
time was needed by increasing the number of weeks to at least the whole of the first
semester of the first year.

 To Improve Gap in Teaching Theory and Practice. Necessary efforts should be made by
the Institute of Accountancy Arusha to ensure that students are competent with the
Information Technology and the use of computers. This will enable students to be
competent on practicing them practically. Also Computer laboratory should be expanded

so that large number of students should be accommodated. Replacement of depreciated
computers should be done in order to meet the demands of students.
Not only computer application but also other courses which can be presented practically should
be put on such way so that students will be aware on presenting the theory courses into practical
views.

3.2.2 The recommendation to the organization of TEMDO


 Enhancement the employee motivation, improving working environment and Human
resource development
 the company should try find other effective investigation of spares generation like
grander spare, cutting disc,
 The company should make national wide installation and distribution of the products
provided from the organization.
