The aim of the Project is to facilitate to store new records of Students in database, to display

Title of the Micro-Project
“Case Study of application specific software product for requirement engineering”
• Rationale
Hostel Management System is designed to manage all the hostel activities
like hostel admissions, hostel room, mess allotment, hostel stores & generates
related reports for smooth transactions. It also used to, manage monthly mess bill
calculation, hostel staff payroll, student certificates, etc.
• Aim/Benefits of the Micro-Project

The aim of the project is to study how hostel management process goes on
and what specific certain rules should we followed.
• Course Outcome Addressed

Hostel Management system is the system that manages the student data,
staff data, students’ admission process and create receipt for the fees paid by the
student who stay in the hostel and also help in maintaining visitor's messages.
1. Abstract
“Hostel Management System (HMS)” is an individual project developed in Word. This project
can be used in hostel to facilitate to store new records of students in database, to display the
saved records with printing facilities.
During the development of this project, I have visited the hostel administration for collection of
data and analyze their problem. We have tried to fulfill most of the desire of the hostel
requirements but due to the lack of time some of the requirements were solved.

The problem analyzed for the hostel were
• Check in/ checkout system for students to keep records of room that have been
reserved.
• Room Reservation system to keep records of the students and find their room
number.
• To generate report of each room reserved.
Among these problems we have choose the Mark sheet problem and try to make the
project to display Mark sheet of the students with printing facility. The user can also save
record of total number of students in the hostel, information about their faculty and course
the study. We have also attached the form to keep simple record of the teachers.
This software is totally secure with password protected facility. The administrator can
create new user, update them when required and delete them if necessary. The administrator
staff can utilize all the facility provided by the software and all the guest staff can get some
of the facility.
This software also provides the facility to create backup of the database which will help
to retrieve data when the accidental loss in the original database happens.
2. Introduction
With the advancement of technology, application areas of computer are rising day by day.
Every sector desires its procurement for fast accurate and automated operations. Therefore,
different program is developed to meet the requirement of various types of users i.e., related to
any field.
This program entitled “Hostel Management System” is an individual work of DIT IVth
semester student. It is a small software package which is helpful in the areas of Hostel. This
program package includes all the activities in which the hostel is managed. The activities like the
user management, the inventory processing, the data summary, etc. are included.
In terms of security this software is totally secure as it doesn't give access to unauthorized
user as the username and password facility is provided.
I chose Hostel management software as the system seemed simple and easy to use. During
its development we realized that we needed software that may help to manage hostel activities
and various other adjustments.
• Background study
During this project development, I visited different Hostels such as Govt Polytechnic
Gadchiroli Boys Hostel, Govt BC Hostel and Gondwana Vidhyapit University Gadchiroli. and
analysis the difficulties of administrative group in their hostel transaction and provide such

solution which may solve their desire problem. I also ask them about how their activities are
operated day to day. I also discuss what is the best solution of this problem.
• Problem Statement
Students living in hostels face many difficulties and hurdles such as financial crises,
adjustment issues, personal helplessness, distress, changes in eating and sleep habits,
and many other issues. Research suggests that Empathy, altruistic behavior, emotional
stability will be more in hostel students.
3.Objectives
The main objective behind preparing this project is that to give hostel a complete facility
that a hostel managerial team wants. It even helps the user to handle the managing system of
the hostel properly. And it also gives the customer an easier way to have booking and other
related activities in the hotel.
Besides this there are many objectives like:
1)To manipulate the Hostel transactions with instant confirmation.
2)To save time.
3)To increase efficiency of students.
4)For fast access of data.
5)For secure and smooth running of the program.
6)For error free, effective and easy for database related works.
7)The application request for the check-in and check-out date and time, number of visitors, and
his/her preferred room category;
8)Indicate the room availability and the location of the rooms;
9)If the visitor is satisfied with the room location, then confirm the booking.
10)Upon confirmation, print the payment details and other necessary constraints.
11)To reduce material related cost

12)To have an efficient material management a company must establish clear guidelines and
strategies regarding purchasing of material, storage and minimization of inventories
13)Good accounting and recording keep will keep a close watch on any workers who might think
that they can help themselves with the company's material
3. Analysis
• Technical Feasibility
The technical feasibility in the proposed system deals with the technology used in
the system. It deals with the hardware and software used in the system whether they are
latest technology or not if happens that after a system is prepared, a new technology
arises and the user wants the system based on the technology. This uses the window
platform. Thus, HOSTEL MANAGEMENT SYSTEM is technically feasible.
• Economic Feasibility
Economic analysis is the most frequently used method for evaluating of a
new system. More commonly known as cost/benefit analysis, html, xml and sql
database are easily available on internet.
• Operational Feasibility
The project has been developed in such a way that it becomes very easy even for
a person with little computer knowledge to operate it. This software is very friendly and
does not require any technical person to operate. Thus, the project is even operationally
feasible.
• Requirement Analysis and specification
Functions and features delivered to the end users. The end users of the proposed
system are:
➢ USER MODULE
This helps the administrator and login to homepage only if password and username match.
➢ CHANGE PASSWORD MODULE
Allows the user to change the password.

➢ STUDENT MODULE
This module is used to store student details i.e., information like profile details, contact
information, educational details etc. Users can search according to different criteria such as
name, course, room, number etc.

➢ ROOM ALLOTMENT MODULE
This deals with the allocation of room to students according to education details, section or
course. Rooms will be allocated to students and an ID will be generated for it. It will display details
students staying in the room or rooms. When a student leaves the room after the semester, the
last date will be also saved.
➢ ROOM FEES DETAILS
displays fee records, student due status and balance amount status. It also used to renew
students rent every semester.
➢ MESS BILL MODULE
This module keeps track of all transactions related to mess. The mess item expenditure for
each student is calculated every month and mess bill for each student is calculated and
displayed.
➢ VISITORS MODULE
This allows the visitors details to view the visitors depending on various search criteria.
➢ REPORT GENERATION MODULE
This is provided to view summary detail regarding hostel fees and bills. Students can check
Hostel fees and bills details by entering the unique hostel ID.
➢ SETTINGS MODULE
In this module, only administrator can access. Administrator has a unique account with much
special access and permissions over normal users. Module allows add, edit, delete and employee
records, building block information, room details, course details etc.
➢ HARDWARE CONFIGURATION
The section of hardware configuration is an important task related to the software

development. Insufficient random-access memory may affect adversely on the speed and
efficiency of the entire system. The process should be powerful to handle the entire operations.
The hard disk should have sufficient capacity to store the file and application.

Network card: Any card can provide a 100mbps speed

➢ SOFTWARE CONFIGURATION
A major element in building a system is the section of compatible software since the software
in the market is experiencing in geometric progression. Selected software should be acceptable
by the firm and one user as well as it should be feasible for the system. This document gives a
detailed description of the software requirement specification. The study of requirement
specification is focused specially on the functioning of the system. It allows the developer or
analyst to understand the system, function to be carried out the performance level to be
obtained and corresponding interfaces to be established. Technology Implemented: Apache
Server.

The Administrator can allot different students to the different hostels.

6.Functional Requirements of RE steps

1. User generate account number.
2. User allow the hostel staff members or guardians to scan’s the student’s ID and access its
profile.
3. User have permission of renewing the student’s registration every year.
4. User shall generate the users profile containing the following information users account
no, full name, ADDRESS, PHONE NO, & ROOM NO.
5. User will change dues status in database according to dues paid or not.
6. User will allocate rooms to students’ session or class.
7. User must have the details of mess of a student and stored in a database.
8. User must allow the warden to Add new users to the system’s database.
9. User must allow to put hold on a room if any room is not available at the moment.
10. User must allow the guardian to cancel the registration from the system’s database who
will leave room.

7. CONCLUSION
To conclude the description about the project, the project, developed using PHP is based
on the requirement specification of the user and the analysis of the existing system, with
flexibility for future enhancement. HOSTEL MANAGEMENT SYSTEM is very useful for hostel
allotment and mess fee calculation. This hostel management software is designed for people who
want to manage various activities in the hostel. For the past few years, the numbers of
educational institutions are increasing rapidly. Thereby the numbers of hostels are also increasing
for the accommodation of the students studying in this institution. And hence there is a lot of
strain on the person who are running the hostel and software’s
are not usually used in this context.
This particular project deals with the problems on managing a hostel and avoids the
problems which occur when carried manually. Identification of the drawbacks of the existing
system leads to the designing of computerized system that will be compatible to the existing
system with the system which is more user friendly and more GUI oriented.

management system is understood.

be faced and how to overcome them.
